Apology Letter

• The sooner, the better

Timing is critical when you are apologizing. If you write the letter quickly, you can probably undo the damage. But a delayed letter just makes the situation worse.


• Be Sincere

Nothing is worse than sending a letter that sounds fake. A mistake is more likely to be accepted if we feel that the apology is genuine. So keep it real!


• Offer a reasonable explanation

Mistakes do happen, and offering a reasonable explanation is a good idea. Give a brief background on why the mistake happened, along a reassurance that it will not happen again.


• Compensate for the damage

Offer to compensate for the mistake. You can either offer a discount, or give a replacement free of cost, or something that acts as a peace offering that shows your level of sincerity.


• Sign the letter with a black pen.

Hand-sign the letter, and use a black pen.


• Use the right font

Use Times New Roman, font size 12- the standard font for writing business letters.
